Stairs as Exhibition Space   DRAFT

The Board policy on the use of the Stairs as hanging/exhibition spaces for prints will be implemented by the end of September 2013 - well that didn't happen but I keep on trying.

The following guidelines and forms will apply to all members and groups that wish to exhibit on the stairs. There are 21 spaces available on the stairs. Of these, 4 each will be allocated to the Portrait and Traditional Darkroom groups should they wish to take them. The remaining 13 will be allocated to members on a first-in-best-dressed basis. But should other interest groups express a wish to have space then this distribution will be modified.

The spaces will be managed by the Booking Coordinator and applications must be made via the Stairs Application form. The completed form must be returned to the Booking Coordinator.

General Guidelines

Note: These guidelines and the overall process will be reviewed after 6 months operation. Comments from members are critical to the success of this approach to using club spaces.

For the purpose of these the guidelines the “Exhibitor” will refer to individual members, to group coordinators and to the representative of groups of members creating an exhibition.

  • The Exhibitor accepts an ‘exhibit at my own risk’ policy before any work is exhibited
  • The Exhibitor accepts the judgment and decisions of the Spaces/Booking Coordinator  as to what is acceptable for a space and how a space is organised against the general criteria for a space as outlined below
  • The mounting, hanging and removal of a print is the responsibility of the Exhibitor.
  • The Exhibitor will be able to book
    •  a space on the stairs for a 12 month period.
    • Spaces in the studio for 4 months
  • Prints on the stairs will be rotated on a 4 months basis.
  • The Exhibitor should check with the Space/Booking Coordinator before hanging any works
  • Each print must be marked  with:
    • The member’s name
    • The date placed on exhibition
    • Other information, such as a title for the print, camera used, processing etc.  is optional.
  • This information can be placed on the backboard of the frame or inside the glass in the bottom left-hand corner of the mat board. If the information is to be visible then it should typed on a piece of paper with dimensions of about 10cmx10cm. Bits of paper hanging off prints will be removed.
  • Prints in the Studio space can be in frames chosen by the Exhibitor but they must have covering glass.
  • Prints exhibited in the stair space will be in standard sized frames – (507mm x 407mm) – with covering glass.
  • All prints shall be matted. The colour of the mat board is up to the Exhibitor.
  • The Exhibitor must note that the prints are hung by a single picture hanger. The print must be able to be securely and safely hung by a single hanger.
  • Club frames can be used but must be returned to the pool if needed for a club exhibition. These are in the Annex to the Darkroom.

Stairs Guidelines

  1. The stairs space can be used to exhibit competition or non-competition work.
  2. The work hung should be recent work.
  3. The print must be hung in on the hanger allocated to the Exhibitor.
  4. Prints must be hung in such a way that there is no risk that the print will fall.
  5. Prints must be hung in the standard size club frames (507mm x 407mm) with glass.
  6. Each print must have an identifying tag either on the rear board or inside the glass at the bottom right hand corner of the frame. The tag shall contain the name of the Exhibitor and the date the print was hung. Other information can be included.
  7. There are 21 hanging spaces on the stairs, approximately 13 of these will be available to individual Exhibitors.
  8. Only a single space is available to an individual Exhibitor
  9. The Portrait Group & Traditional Darkroom Printmakers Group will each be allocated 4 spaces should they wish to take them up. The same rules apply to spaces being used by groups as to those available to individual Exhibitors.
  10. A member of a group who is exhibiting  as a part of the group cannot exhibit as an individual member
  11. The Exhibitor will be able to book a space on the stairs for a maximum period of 12 months.
  12. Prints on the stairs will be changed on at least a 4 monthly basis during that 12 month period.
  13. There are some restrictions on the Stairs Space based on permanently allocated hangers.

I agree to the following rules associated with hanging prints in the stairwell:

  1. I accept an ‘exhibit at my own risk’ policy before they exhibit any work
  2. I accept the judgment and decisions of the Spaces Coordinator as to what is acceptable for a space and how a space is organised against the general criteria for a space as outlined previously
  3. The mounting, hanging and removal of a print are my responsibilities.
  4. I will be booking a space for a maximum of 12 months from the date specified on the application
  5. I will change my print at least every 4 months.
  6. Each print will be identified with:
    1. My  name
    2. The date I placed on exhibition
    3. Optional information, such as a title for the print, camera used, processing etc.

This information should be typed or written on a piece of paper approximately 10cmx10cm and placed inside the glass in the bottom left-hand corner of the mat board.

  1. All prints shall be in standard sized frames (507mm x 407mm) and shall be matted. The colour of the mat board is up to me.
  2. I note that the prints are hung by a single picture hanger and that the print must be able to be securely and safely hung by a single hanger.
  3. A club frames can be used but I will return it to the pool if needed for a club exhibition. (There are club frames in the Annex to the Darkroom.)
  4. I understand that significant breaches of these rules will cause me to lose my space.
